Terms of Use
These Terms of Use apply to Bruntingthorpe Paperwork ("the Service"), available at bruntpaperwork.co.uk and related Bruntingthorpe Paperwork mobile/app access points. By creating an account, signing in, recording paperwork, uploading files, connecting an email account, creating invoices, or sending timesheets through the Service, you agree to these terms.
1. What the Service Does
The Service is a paperwork, timesheet, payroll-support, and record-keeping tool for drivers, payroll users, and authorised administrators. Depending on role and permissions, the Service may be used to:
- Record shifts, overtime, holidays, sickness, day-off and VOR days.
- Capture mileage, fuel, loads, collections, deliveries, cars delivered, night-out markers, meal/bonus-related data, and notes.
- Create, upload, view, replace, and delete supporting files such as receipts, invoices, and email attachments.
- Generate and export paperwork in formats such as Excel, CSV, PDF, or similar internal summaries.
- Preview, queue, delay, cancel, send, and track timesheet emails and copies.
- Store drafts, generated attachments, invoice references, and send history.
- Provide profile, history, overview, reminder, and payroll-support features.
2. User Accounts and Roles
- Drivers are responsible for the accuracy of the records they enter.
- Payroll and administrator accounts may review user paperwork, settings, exports, reminders, queued or sent email history, invoices, and related records where needed for payroll, support, or operational administration.
- Some views or links may allow read-only access, impersonation-style access, or payroll access to another user's records where authorised by the business.
- You must keep your login details secure and tell an administrator if you think your account has been accessed without permission.
3. Connected Email Accounts
Users may connect Microsoft Outlook/Live or Google Gmail accounts so timesheet emails can be sent from their own email address, or may use configured SMTP sending where available. By connecting or configuring an email sending option, you authorise the Service to send timesheet and related workflow emails that you request, schedule, test, or configure. The Service is not intended to act as a general-purpose mail client.
You can disconnect a connected email account from the settings page. If you disconnect it, the Service will no longer be able to send through that provider unless you reconnect it.
4. Acceptable Use
You agree not to:
- Submit false, misleading, unlawful, or abusive paperwork.
- Use the Service to send spam, harassment, malicious content, or emails unrelated to legitimate timesheet/paperwork workflows.
- Upload malicious files or attempt to bypass security controls.
- Use invoice, receipt, payroll-link, export, or reminder features for unauthorised or non-business purposes.
- Access or attempt to access another user's records unless you are authorised to do so.
- Interfere with the operation, security, or availability of the Service.
5. Your Data and Content
You keep ownership of the data you enter, including shift records, notes, receipts, invoice-related content, uploaded attachments, email draft content, and generated paperwork. You give the Service permission to store, process, organise, transform, generate, export, preview, transmit, and display that data as needed to provide the paperwork, payroll, reminder, history, and email features.
6. Accuracy and Payroll Use
The Service is a paperwork and workflow tool. It may include estimates, summaries, bonuses, allowances, and payroll-related calculations, but these are operational aids only. Users and payroll administrators remain responsible for checking records, calculations, invoices, exports, attachments, reminder timings, and email content before relying on or submitting them.
7. Exports, Files, and Email History
The Service may create or retain drafts, generated export files, uploaded receipts, invoice-linked files, queued email attachments, send-history records, and audit-style metadata to support the operation of the app. These records may continue to exist for payroll, troubleshooting, operational continuity, and evidence of what was generated or sent.
8. Availability and Changes
We aim to keep the Service available but do not guarantee uninterrupted access. Features may be updated, changed, suspended, or removed for maintenance, security, legal compliance, operational reasons, or improvement of the Service.
9. Security
You must not share your password or deliberately weaken account security. We may suspend accounts or connected email sending where we reasonably believe there is a security risk, misuse, or unauthorised access. The Service may also use features such as session controls, login alerts, app-lock settings, PIN-based re-entry, or payroll-link expiry to reduce risk.
10. Limitation of Liability
To the maximum extent permitted by law, we are not liable for indirect, incidental, special, or consequential damages, including loss of profits, business interruption, payroll mistakes caused by incorrect user input, or loss of data. This includes issues caused by incorrect data entry, removed files, disconnected email providers, failed third-party email delivery, corrupted attachments, or delayed reminders. Nothing in these terms excludes liability that cannot legally be excluded.
11. Termination
We may suspend or terminate access if you materially breach these terms, create a security risk, misuse email sending features, or use the Service unlawfully. You may stop using the Service at any time, and you may ask an administrator about account removal where appropriate.
12. Updates to These Terms
We may update these terms from time to time. The latest version will be published on this page. Continued use after updates means you accept the revised terms.
13. Governing Law
These terms are governed by the laws of England and Wales. Any disputes will be subject to the courts of England and Wales.
